Matrix Recruitment are expanding our team and we now require an Administrator in our Operations Department based in our Head Office in Waterford. The successful candidate will provide an effective service to the recruitment, finance and operations departments, ensuring the smooth running of the office and systems. The successful candidate will also be involved in candidate and client account management, always ensuring their experience with Matrix Recruitment is of the highest standard.

This is a permanent role with full-time or part-time work available as well as hybrid work.

Key duties & responsibilities:

  • Effectively communicate and coordinate documentation requirements to candidates in line with the client and/or legal compliance guidelines and maintain regular communication with all parties.

  • Accurately review and upload employment documents into the recruitment management system.

  • Print and file documents in line with GDPR legislation and company standards.

  • Follow up with the relevant Recruitment Consultant during the recruitment process and ensure communication is open around each stage of the process. Highlighting any areas of concern as soon as they arise.

  • Conduct regular checks on all candidate’s documentation and contracts prior to the expiry date and follow up with the candidate to obtain updated documentation.

  • Meet and exceed targets without compromising quality standards.

  • Adhere to Matrix Recruitment’s standard business processes, policies and procedures.

  • Undertake project work or additional reasonable duties as requested by Management.

  • Conduct regular checks on the CRM database to ensure data is being entered correctly.

  • Other activities include: Garda Vetting, Background Checks, Reference Checks, Immunisation Confirmations, Qualification Verifications, GDPR Administration, Issue New Contracts, Issue Contract Renewals, Client Terms & Conditions etc.

What are we looking for?

  • 2- 3 years' experience working in a busy office environment dealing with managing client accounts and/or contracts.

  • You must be a team player and be willing to go out of your way to help a teammate.

  • Experience in payroll, compliance and/or contract management would be very desirable.

  • Be familiar with GDPR requirements, specifically in a recruitment environment.

  • You must be highly proficient in Excel, Word and IT systems.

  • Proven experience in managing multiple projects with strong time management and prioritisation skills and strong attention to detail.

  • Experience with CRM systems (Bullhorn or recruitment software would be a distinct advantage).

  • Fluency in English as well as excellent oral/written skills and have demonstrated this in a professional environment.
