WHAT YOU NEED TO KNOW

My client located in Tuam, Co. Galway is looking for a Sales/Office Administrator to join their Sales & Project Team.

You will be work alongside the Project Managers assisting in liaising with clients/suppliers, quotations, invoicing & forecasting reporting.

This is a permanent job full time onsite Mon-Fri

Your new job
  • Working with the company’s project managers to produce client quotations and invoices.
  • Provide office-based assistance to the project managers
  • Update equipment forecasts based on confirmed orders for use by the company’s yard operations.
  • Monitor & produce tender applications in conjunction with the relevant project manager.
  • Follow up as required on unconfirmed jobs with clients seeking prior advice from the relevant project manager as needed.
  • Communicate important feedback from clients.
  • Become familiar with all company products.
  • Source payment terms from the Finance staff and issue Pro Forma invoices for deposit payments
  • Ensure company documentation such as templates, terms & conditions, fire specifications, spec sheets and insurance indemnifications are up to date
  • Keep website gallery up to date.
  • Liaise with management to ensure rates are accurate.
  • Keep sales related records and forecasting reports up to date.
  • Dealing with client queries as needed via email and telephone
  • Assist the PM’s in administration assistance as required.
  • MUST HAVE OWN TRANSPORT & FULL IRISH DRIVING LICENSE

What are we looking for?
  • 3rd level qualification in Business or related discipline – preferred
  • At least 4 years experience working in a similar sales/office role – essential
  • Must be open to direction & correction
  • Must be meticulous – with strong attention to detail and a high level of accuracy.
  • Proficiency using MS Office applications i.e. Excel, Word, Outlook, PowerPoint. A willingness to assist with the ongoing improvements to the company’s quoting and invoicing systems.
  • Ability to work on own initiative in a fast paced environment. Must have excellent time management skills
  • A team player with good interpersonal skills and a positive demeanour. Possesses the ability to build rapport with colleagues & clients throughout the different areas of the business.
  • MUST BE FLUENT IN ENGLISH WRITTEN & ORAL
