WHAT YOU NEED TO KNOW

My client in the healthcare sector is looking to hire a Senior Facilities Administrator to join their site in Mullingar, Co. Westmeath

This will be an initial 3 month contract going month to month thereafter

This person will play a pivotal role in the clerical support administration of the Health & Safety Department, Maintenance Department, Security Department, Hospital IT Department, and along with Nursing Directorate and the Infection Prevention Control Team and other internal and external stakeholders.

Your new job

  • Provide comprehensive managerial and administrative support to the Hospital Facilities Manager.

  • Provide managerial and administrative support to the Health & Safety Officer

  • Responsible for the maintenance and upkeep of staff personnel files within the department, and evaluate in conjunction with appropriate providers and recipients, training needs of relevant staff.

  • Co-ordination of meetings, ensuring minutes are taken and circulated with co-ordinated agenda and all other relevant documentation to all members in a timely fashion.

  • Responsible for the co-ordination of stores requisitions for the hospital, ensuring they are delivered within the agreed timescale and deadlines are met.

  • Responsible for the ordering of PPE and mainlining safe stock levels of PPE.

  • Manage and implement provisions of Sick Leave, Annual Leave, Flexi Leave for assigned staff.  

  • Responsible for the co-ordination of all IT Equipment ordered for the hospital in consultation with the Hospital Facilities & ICT Project Lead.

  • Responsible for the keeping all IT requests logged and up to date.            

  • Prepare Purchase Orders and End of Month Accruals in accordance with the Health Service IFMS system & National Financial Regulations.

  • Responsible for ensuring that all New Item Forms are completed properly with relevant supporting documentation in order to send for processing

  • Cross cover in Hospital Manager’s office / Operations & Clinical Services Manager as required.             


What are we looking for?

  • 2-3 years experience working in a similar senior role

  • HSE experience preferable

  • Proficient with MS Office applications

  • Ability to work on own initiative in fast-paced environment

  • Proven ability to multitask and manage large volumes of work

  • Liaising with multiple departments & department managers

  • Strong communication verbal & written (English fluency)
