- Coordinate the monthly diary of the department Manager and ensure all actions are followed up on within a timely planner.
- Organise annual IMR (Integrated Management Reports) review meetings with Service Providers and attend the meetings as minute taker.
- Ensure that all data pertaining to business cases is uploaded onto the data base and monitor the information closely.
- Maintain appropriate, up-to-date written and electronic records.
- Support the preparation and issuing of department documentation (correspondence, reports, etc.)
- Ensure that all administrative systems are in accordance with departmental guidelines and to the highest standards,.
- Maintain records of formal and informal complaints. Provide reports as necessary in relation to complaints.
- Retain records of Staff annual leave.
- Manage incoming invoices for approval and return to the Finance department.
- Maintain electronic and manual filing systems.
- Co–ordinate and / or attend multi-disciplinary meetings, recording minutes and actions.
- Attend meetings, briefings and training sessions as required.
- What are we looking for?
- 2-3 years experience working in a similar senior role
- HSE experience preferable
- Team lead/supervisory experience
- Must be proficient with Excel & spreadsheets
- Accounts administration experience
- Proficient with MS Office applications
- Ability to work on own initiative in fast-paced environment
- Proven ability to multitask and manage large volumes of work
- Liaising with multiple departments & department managers
- Strong communication verbal & written (English fluency)
