Matrix Recruitment are seeking to recruit a Human Resources Assistant - Grade IV for our client based in Waterford.

Our client supports individuals with intellectual disabilities, they are committed to empowering individuals to achieve personal autonomy and secure their place in society as valued citizens.

This is a Temporary Contract

Key duties & responsibilities:
The Temporary Human Resources Assistant will effectively support the HR Manager, Senior Human Resources Officer, and the HR team in all HR-related tasks. This role involves working closely with HR team members to ensure timely completion of administrative duties.

Key responsibilities of the role:

  • Coordinate and manage administrative and recruitment activities according to R&S Policy and HR best practices.

  • Process vacancies, draft job adverts, descriptions, and person specifications for Service Managers/Team Leaders.

  • Arrange interview boards, monitor Garda vetting, references, and medical checks.

  • Issue contracts of employment and notify unsuccessful candidates.

  • Follow up on HR paperwork, including induction and probation checklists.

  • Assist in interview boards as required.

  • Set up new employees and process ceased employees in HR system.

  • Conduct Garda vetting and re-vetting.

  • Ensure GDPR compliance when photocopying files for third-party requests.

  • Provide advice and support on HR matters, terms, conditions, and policies.

  • Monitor temporary contracts and take follow-up action.

  • Support Service Managers with workforce planning.

  • Assist in producing standardised reports, maintaining HR reporting processes, and analysing metrics.

  • Operate computers proficiently, especially Microsoft Office, in compliance with data protection legislation.

  • Prepare agendas, minutes, reports, policies, procedures, and guidelines.

  • Maintain up-to-date knowledge of HR regulations, policies, and practices.

  • Prepare documentation for HR Manager/Senior HR Assistant signature.

  • Manage and maintain personnel files to HIQA standards.

  • Liaise with external organisations on HR issues.

  • Report equipment breakages and faults to HR.

  • Assist in implementing HR-related projects.

  • Ensure consistent adherence to procedures.

  • Prepare and manage budget records.

  • Maintain communication with stakeholders.

  • Attend mandatory training and stay updated on HR practices and CPD.

  • Report concerns to designated authority.

  • Familiarise with security and fire regulations and participate in their implementation.

  • Comply with health and safety obligations.

  • Adapt to ongoing developments and perform other duties as required.

  • Be adaptable and willing to develop new approaches to work.

  • Maintain strict confidentiality regarding information and records.

What are we looking for?

  • Have a minimum of 2 years recruitment experience.

  • Strong HR administration in Recruitment &Selection.

  • Knowledge and understanding of recruitment processes, HR policies and procedures,

  • Ability to manage deadlines and handle multiple tasks
